Renewal Client Procedure
Allow approx. 1 hour to complete this per client
Do DAY AFTER renewal due
- Change dates in CRM Added "Renewed client" automation (or "Renewed client 12 month") List and add Internal Notice tag for administrator notifications
- Open previous Renewal Report and make a copy IMMEDIATELY to use
- Open Overall Stat spreadsheet from Manual instructions (link above)
- Open Google Analytics and Search Console and put in reporting dates
- Add all general stats in spreadsheet and keep open
- Remember to take a snapdump of the all site Search stat screen
- In Analytics go to Reports | Pages and Screens
- Work through each link in the Client Renewal Report and add stats (note any stats you may also use in any other current reports)
- In Analytics go to Explore | External Link Clicks - add dates and export to search on the export (keep the export open if doing other reports and when finished save in Stat folder)
- In Search Console get stats for "pages containing: section/" and any other relevant, eg if a page is particularly popular
- Check status of rankings from the Report links
- Once completed Report save as pdf Upload pdf Report to media and copy the url link
- Open client in CRM | Emails | Send Email | Use Template - CLIENT - Renewal Report Link Template - add link and any other changes | Send
- Go to client CRM | Create new note | Copy in link to the Report (pdf version NOT the online link) | Add all dates of scheduled social posts and classified
- Go to Hootsuite | Schedule in 2 x posts (10 weeks approx apart) | Note dates in client CRM note
- Go to Classifieds create generic classified half way between two social posts | Note date in client CRM note
- Update their client Board
- Add Google tasks for checking and sharing social posts | classified | Mid-term Report | Renewal due (day of renewal to do following day)
2 days after Report sent
- Go to Xero | should be a draft invoice | check and send
If the client comes back and doesn’t want to renew switch to your “Closing Client Procedure”
