SOP Reference: Managing Monthly Social Schedules & Crossover Posts
1. Purpose & Layout Structure
To maintain a clean, organized master workbook ([Year] Master Sharing Schedule.xlsx) without horizontally stretching across hundreds of columns, while ensuring seamless tracking for multi-day crossover posts and holiday campaigns.
2. The 5-Second Crossover Carryover Shortcut
When posts from the end of one month continue into the next:
- Copy the Column: Copy the active post column from the previous month’s tab and paste it into the new month's tab.
- Select Group Rows: Highlight the cells in that column containing your Facebook group rows (e.g., Row 9 down to the bottom).
- Select All Ticked Cells:
- Press F5 (or Ctrl + G).
- Click Special… (bottom left).
- Select Constants and click OK. (Excel highlights every cell with text, ticks, or dates, ignoring blanks).
- Format & Lock:
- Click the Fill Color bucket on the Home ribbon and choose Light Grey.
- (Optional) Type x and press Ctrl + Enter to mark them all simultaneously.
- Prevent Double-Counted Reach:
- Set Row 7 (Reach / Impressions) on the new tab to "See [Previous Month]" so reach numbers are only tallied once during reporting.
3. The 5-Day Group Safety Buffer Rule
If multiple campaigns run concurrently (e.g., general monthly shares alongside School Holiday Hub posts), check the group row across both active columns to ensure at least 5 days have passed since the last share in that group before scheduling.
Maintain a minimum 5-day gap before sharing any new post or promotion into the same Facebook group.
