SOCIAL MEDIA SET UP AND SHARING

You will be adding social posts to share through your Pod system for that holiday period.

For each holiday period you will set up four Facebook, 2 Instagram posts per client and one Google Business post (one a static post and one a video post) approx 2-3 weeks apart depending on the start date of that particular client advertising and the length of the holidays. You may add more as you see fit (these will be done later in the client set up procedure)

In Summer holidays you will set up 3-4 posts being a static | video | static again about 2-3 weeks apart.

As each client comes on board you will create (in their set up process) at least the first 2 posts (in Summer you can't set up the third as you'll want to change the FB open graph image on their backend page SEO and you can't do that until after the first static post has been posted (the video post doesn't use the image so is different - you have to create your videos or use past ones).

Therefore you can set up both social posts for all holidays (except Summer) at the start and Summer note to change the OG image, update and schedule post about a week or so after the video post has published.

Linku2 Daily Facebook Pod Sharing Procedure

Objective: To efficiently share client Facebook posts into local community groups without losing track of where you are, using a side-by-side spreadsheet method.

🖥️ The Setup (Do this first)

  1. Open your screens side-by-side: Snap your Master Pod Schedule to one side of your screen, and your Pod Check-Off List to the other side.
  2. Open Google Chrome (or your preferred browser) ready to access Facebook.

Step 1: Identify Today's Task

  1. Look at your Master Pod Schedule.
  2. Scroll down to today's Date and find the row(s) that need to be completed.
  3. For the first client on the list, take note of two specific columns:
    • Sharing Profile: Which Facebook profile do you need to be logged into? (e.g., LU2SH, Sarah, LU2 Waikato)
    • Pod to Use: Which specific group list are you sharing to? (e.g., Pod 2: Hibiscus Coast A)

Step 2: Prepare Facebook & Your Assets

  1. Switch Profiles: Go to Facebook and ensure you are operating as the correct Sharing Profile noted in Step 1.
  2. Open the Post: Go back to your Master Schedule and click the URL in The Original Post Link column. This will open the live Facebook post on your screen.
  3. Copy the Snippet: Highlight and copy the short text from the Post Content / Text column in your Master Schedule. (This is now saved to your clipboard).

Step 3: The Sharing & Ticking Loop (Crucial Step)

This is where you use your Check-Off List to ensure you never lose your place if the phone rings or you get distracted!

  1. Look at your Pod Check-Off List and scroll to the specific Pod block you are using today (e.g., Pod 2: Hibiscus Coast A).
  2. On the live Facebook post, click Share, then select Share to a group.
  3. Look at the very first Facebook Group Name listed in your Check-Off List.
  4. Type that exact group name into the Facebook search bar in the pop-up window and select it.
  5. Paste your short share snippet into the text box and hit Post.
  6. IMMEDIATELY click over to your Check-Off List and type "Y" or "Done" next to that group name.

Step 4: Repeat the Loop

  1. Click Share > Share to a group on the original post again.
  2. Look at the second group name on your Check-Off List.
  3. Search, select, paste your snippet, and Post.
  4. Mark "Y" on your Check-Off list.
  5. Repeat this simple loop moving straight down the list of groups until that specific Pod block is entirely ticked off.

Step 5: Finalize & Close Out

  1. Once every group in that Pod has a "Y" next to it on the Check-Off list, the sharing for that client is complete!
  2. Go back to your Master Pod Schedule.
  3. Update the Status column for that client's row to "Done".
  4. If you have another client row scheduled for today, repeat the process from Step 1. If not, your daily sharing is completely finished!

*** 💡 Pro-Tip for the Check-Off List: At the start of a new sharing cycle (e.g., a new School Holiday period), just highlight the "Status" column in your Pod Check-Off List and hit 'Delete' to clear out all the old "Y"s so you have a fresh, blank canvas to work with!

Setting Up the Weekly Pod Sharing Schedule

Step 1: Clean Your Checklists Before planning new shares, ensure your tracking sheet is clear from the previous week's work.

  • Open your Excel workbook and navigate to the Pod Check Off List spreadsheet.
  • Highlight the Status column and press Delete on your keyboard to clear all the "Y" and "Done" marks. Your checklist is now blank and ready for the new week.

Step 2: Prepare the New Schedule Tab

  • Right-click your current weekly schedule tab (e.g., "POD SCHEDULE - 15 to 28 June" - here is MASTER POD SCHEDULE TEMPLATE if you need a new one) at the bottom of Excel and select Move or Copy.
  • Tick the Create a copy box and click OK.
  • Double-click the name of this new tab and rename it for the upcoming week.
  • Highlight the old data in the rows (Clients, Links, Text, Pods) and hit Delete to give yourself a blank template, making sure to leave your column headers intact.

Step 3: Schedule Your Campaigns Review your upcoming promotions, whether it is a local school holiday programme or a new business directory feature.

  • Fill in the Date you want the share to happen.
  • Type the name of the business in the Client / Campaign column.

Step 4: Prepare the Content

  • The Original Post Link: Go to your main Facebook page, find the original post you want to promote, copy its URL, and paste it here.
  • Post Content / Text: Write a short, engaging "Share Snippet" that you will paste into the groups alongside the link. Keep it friendly and relevant to the local area!

Step 5: Assign the Pods and Profiles This is the most crucial step to ensure the content reaches the right audience without posting from the wrong account.

  • Pod to Use: Select the correct pod for the client's location or target audience (e.g., Pod 18: Hibiscus Coast or Pod 19: North Shore A).
  • Sharing Profile: Look at your Master Checklist and note down exactly which Facebook profile must be used for this pod (e.g., LU2SH, LU2 HBC, or Sarah).

Step 6: Update the Master Schedule

  • Once your new weekly tab is fully populated, highlight all the new rows, press Ctrl + C to copy, and paste them directly at the bottom of your MASTER POD SCHEDULE tab.
  • This keeps your Master tab functioning as the ultimate, centralised diary for all your sharing activity.
